Most owners can answer this question in about two seconds, and the answer is usually no. Not because the business is badly run, but because it has grown around one person. The supplier relationships are in your head. The logins are on your phone. The customers ring you, not the office.

In risk management this is called key-person risk, and it's one of the first things I look for in a risk audit. It rarely shows up on a spreadsheet, because nothing has gone wrong yet. That's exactly why it's worth looking at now.

How to spot it

Ask yourself these questions honestly:

  • Is there any task only you know how to do?
  • Could someone else find your key passwords, supplier contacts and bank details in an emergency?
  • Would your best customers know who to call if you didn't answer?
  • Is anything important only written down in your head?

If you answered yes to the first one, or no to any of the others, you have some key-person risk. Almost every small business does.

Why it matters more than it feels

Illness, a family emergency, a broken leg on holiday. None of these are unusual, and none of them come with notice. When the business depends on one person, a short absence can mean missed orders, unpaid invoices and customers quietly going elsewhere. It also limits growth, because you can't hand anything off if it only exists in your head.

The goal isn't to make you replaceable. It's to make sure the business can survive a bad month without you.

Three things to do this week

  • Write down your critical tasks. List the things that would cause real problems if they stopped for four weeks. Keep it to one page.
  • Store access somewhere safe and shared. A password manager with emergency access, or a sealed document with someone you trust, so logins and supplier details can be found.
  • Pick one task to hand over. Choose the most important thing only you can do, and show someone else how to do it. Then repeat next month.

None of this takes long, and it makes a real difference. It's also the kind of thing that gets pushed back for years because nothing is on fire.
